Momentum Makers: Tackling Accounts Receivable with Greater Speed, Ease and Security

Having worked for a nonprofit for 22 years before joining a local church supply vendor, this accounts receivable professional was well-accustomed to the financial intricacies of church customers and the challenges she may encounter. Yet when she was introduced to the BillGO Exchange, she realized she could do her job with significantly more speed, ease and security. Here she details the notable impact BillGO has on her day-to-day success. 

 

It's very user-friendly, even from Day 1, especially for someone being new. Once I was shown what to do, it’s very self-explanatory. All the information is right there. Most of the time we have all the information, the account numbers, even the invoice number. If you were only shown how to use the portal one time, as long as you know your username and password, you’re not frustrated.  

 

What is your role and what are your primary job responsibilities?

Working in Accounts Receivable, I enter the checks and run the statements for our customers.  

I also oversee our BillGO emails. When customers pay with a credit card, I get an email notification for a payment. Sometimes this happens three or four times a day. And sometimes the alert has three or four credit card payments on it. I simply open the email, print the information and process the bill.   

 

What do you like most about BillGO? 

I love the email alerts! I like the fact that BillGO sends a notification and it's very clear and simple. I then just login and all the information is right there: a picture of the credit card, all pertinent information, the amount. All that is so easy.

Like this morning, I got an alert for payment. I logged in and it’s all right there. Before I run the payment, I will check to make sure they haven’t paid already. But the account, invoice, name of the church — it’s all very easy to read and understand. 

 

How does BillGO help you do your job more successfully? 

We get payments so fast!  

When I get an email alert from BillGO that we have card payments awaiting, I login to the portal and view them. It tells me the amount, how many cards are pending, when they are going to expire and everything. 99.99% of the time, I process the payment the same day. But in the event I don’t get to a payment, I can still see them and know how much time I have until they expire. It’s all very easy to see and read. I just go in and print the cards off and run them that day.  

 

How has your experience been with BillGO Exchange Customer Support?

When I get a notification from BillGO that a church is going to pay on something, I check it against my records. If they have already paid for an invoice, then I refuse the payment. 

Once when I refused a payment, a woman from BillGO Exchange Customer Support called me the next day. She said I could call her any time if something happens, if an overpayment, credit card, whatever. She gave me her 800 number and gave me her extension. If I ever have a problem or if something happened in the middle of the process, I know I can call her. And she takes care of it. She’s wonderful. 

 

Would you recommend BillGO to another business?

Yes! It’s user-friendly, that is one of the main things, just simple to use.  

One of our churches would pay us by check. And their checks kept getting lost in the mail. Then they got hacked. It was a very hard situation. So their bookkeeper called and we talked on the phone, and she asked if they can pay with a card once a month. And I said we get a lot of payments from BillGO — so there you go, a couple of days after I said that, she started using the BillGO Exchange. And that’s wonderful for me.
